SharePoint Storage Management

Understand storage consumption, reporting and practical SharePoint storage governance.

Understand SharePoint storage

SharePoint Online storage is consumed across document libraries, site assets, pages, recycle bins and version history. A site inventory helps identify where storage is being consumed.

What should you report?

  • Site URL and title
  • Current storage usage
  • Allocated storage
  • Over-utilization
  • Site type and ownership

Use PowerShell for repeatable reporting

For larger tenants, PnP PowerShell is useful for collecting consistent storage data across sites and exporting it to CSV.

Practical governance

Review high-consumption sites, version history, recycle bins and inactive sites before increasing tenant storage.

Find storage usage in the admin center

For a current tenant-level view, open the SharePoint admin center and review Active sites. The storage summary provides total and available space, while individual site details help identify higher-consumption sites. Storage figures can lag by 24–48 hours, so avoid treating a recently changed number as an immediate real-time measurement.

Microsoft Learn: Manage site storage limits

Build a useful storage report

Collect consistent fields that help administrators compare sites and decide what to investigate. A practical report can include:

  • Site title and URL, site type, and owner or administrator contacts.
  • Current storage used, storage limit or quota where applicable, and percentage of capacity used.
  • Last activity or modification indicators, clearly labelled so readers know what the date represents.
  • Version-history usage where the reporting method supports it, plus links to sites that need follow-up.
  • Report timestamp, collection errors, and sites that were skipped so the report is auditable.

Investigate before buying more storage

  1. Confirm whether the usage number is tenant-level or site-level and when it was last refreshed.
  2. Identify sites with high storage or rapid growth, then check the large libraries and content owners.
  3. Review version history, retention requirements, recycle-bin behavior, and inactive content as separate investigation areas.
  4. Ask content owners about business need and recovery requirements before removing data.
  5. After approved changes, rerun the report and compare the results after the service has had time to update.
Important: Don't delete documents or versions just to reduce a storage number. Confirm retention policies, legal holds, eDiscovery needs, and business recovery requirements first.

Choose the right storage mode

SharePoint supports automatic pooled storage management by default. Some organizations use manual site storage limits for specific governance needs. Confirm how your tenant is configured before interpreting site limits or recommending a quota change; Microsoft's guidance describes the available options and their implications.
